Last updated 23 October 2026

This privacy policy describes how Xperience Celebration Technology Private Limited ("we", "us", "our") collects, uses and shares personal information when you use TheXperience website, applications and related services (together, the "Service"). By using the Service you agree to this policy. If you do not agree, please do not use the Service.

01Scope and roles

This policy applies to information we collect through the Service. It does not apply to third-party websites or services that may be linked from the Service.

Where our customers upload information about their own guests, clients, vendors or team members, the customer determines the purpose of that processing and is responsible for having the authority to collect and use it. We process such information on the customer's behalf and in accordance with their instructions and this policy.

02Information we collect

  • Information you provide: account details such as name, email address, organisation and role; content you upload or enter into the Service; communications you send us; and billing information needed to process payments.
  • Information collected automatically: device, browser and usage information, IP address, approximate location, and log data about how you interact with the Service, including through cookies and similar technologies.
  • Information from third parties: where you sign in through a third-party identity provider, or where another user of the Service enters information about you, such as an organiser adding you to a guest or vendor list.

03How we use information

We use information to:

  • provide, operate, maintain and improve the Service, including its AI-assisted features;
  • create and manage accounts, authenticate users and process transactions;
  • communicate with you about the Service, including service, security and billing notices;
  • provide customer support and respond to requests;
  • monitor and analyse usage, detect and prevent fraud, abuse and security incidents;
  • comply with legal obligations and enforce our terms.

04AI-assisted features

The Service uses artificial intelligence, including models provided by third parties, to generate and organise content. Content you submit to AI-assisted features may be processed by those providers for the purpose of providing the feature. We do not use your content to train our own AI models. AI output is generated automatically and may be inaccurate; you are responsible for reviewing it before relying on it.

05How we share information

We do not sell personal information. We may share information:

  • with service providers that perform services on our behalf, such as hosting, storage, payment processing, email delivery, analytics and AI processing, subject to appropriate confidentiality obligations;
  • with other users of the Service, where you or your organisation choose to share content with them;
  • to comply with law, regulation, legal process or governmental request, or to protect the rights, property or safety of us, our users or others;
  • in connection with a merger, acquisition, financing or sale of all or part of our business;
  • with your consent or at your direction.

06Retention

We retain personal information for as long as needed to provide the Service and for legitimate business purposes such as maintaining records, resolving disputes, enforcing agreements and complying with legal obligations. Retention periods depend on the type of information and the context in which it was collected.

07Security

We use reasonable administrative, technical and organisational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

08Cookies

We use cookies and similar technologies that are necessary for the Service to function, such as keeping you signed in, and may use them to understand how the Service is used. You can control cookies through your browser settings; disabling necessary cookies may affect the Service.

09Your choices

You may access and update certain account information through the Service. Subject to applicable law, you may request access to, correction of or deletion of your personal information, or object to or restrict certain processing, by contacting us using the details below. We may need to verify your identity before acting on a request. If your information was provided to us by one of our customers, we may refer your request to that customer.

You can opt out of marketing communications by following the unsubscribe instructions in those messages. We will continue to send service-related communications.

10International processing

We and our service providers may process information in countries other than the one in which you are located. Where we do so, we take steps intended to ensure that information receives appropriate protection in accordance with applicable law.

11Children

The Service is intended for business use by adults. We do not knowingly collect personal information directly from children under 18. If you believe a child has provided us with personal information, please contact us.

12Changes to this policy

We may update this policy from time to time. The updated policy will be posted on this page with a revised date, and material changes may be communicated through the Service. Your continued use of the Service after an update constitutes acceptance of the updated policy.
